Maintain Bill Entity Disbursement Rates

The Maintain Bill Entity Disbursement Rate routine allows the user to enter Disbursement Rate details (the amount to be charged for each type of Disbursement incurred) for specific Bill Entities. In eQuinox, Bill Entities are those people who may or may not be Clients, but who are responsible for the Bill for a particular Client (i.e. Billing Parties). When the Maintain Bill Entity Disbursement Rate routine is accessed from the eQuinox main menu, the screen shown below will be displayed.

Bill Entity No, Bill Entity Name - The unique identifier and name of the Bill Entity. The Disbursement Rate details displayed in the lower section of this screen are specific to the current Bill Entity in this section. To view details for specific Bill Entities, the user may execute a query based on the Bill Entity number and /or name. Note: To view contact information for the current Bill Entity, the user may double-click the Bill Entity Name field; and the Bill Entity Addresses screen shown at the bottom of this page will be displayed.

Disb Code - The Disbursement Code (unique identifier for individual Disbursements types). A selection may be made from the List of Values provided. Once a selection is made, the Disbursement Description will also be displayed.

Description - A description of the type of Disbursement indicated by the Disbursement Code.

Rate - The rate being charged to the Bill Entity each time the specified Disbursement is incurred. Disbursements can be charged at half cent intervals.

Exception Description - Indicates when an exception is to be made to the charge rate.

Date Changed - The date on which the information for the specified Disbursement Rate was last changed. The date may be selected from the Calendar provided.

Copy Rates - To copy rates for a specific Disbursement Code from the current Bill entity to another Bill Entity, or to copy rates for the current Bill Entity from one Disbursement Code to another, the user must click the Copy Rates button. They will be presented with the Copy From screen, as seen below.

The screen seen below appears when the user clicks the Copy Rates button on the main Maintaining Bill Entity Disbursement Rates screen.

Copy From Bill Entity - To copy rates for a specific Disbursement Code from another Bill Entity, the user must select this option.

Bill Entity - The unique identifier and name of the Bill Entity from which rates are being copied. A selection may be made from the List of Values provided.

Disb Code - The unique identifier and name of the Disbursement Code for which rates are being copied. A selection may be made from the List of Values provided.

Copy From Bill Entity Disbursement Rate - To copy rates from one Disbursement Code to another for the current Bill Entity the user must select this option.

From Disb Code, To Disb Code The unique identifier of the Disbursement Code from which rates are being copied, and the unique identifier of the Disbursement Code to which rates are being copied. Selections may be made from the Lists of Values provided.

Copy - when the user has finished making their selections, they must click the Copy button to complete the copying process.

The Bill Entity Addresses Screen

When the user double-clicks the Bill Entity Name field seen above, the Bill Entity Addresses appears, displaying contact information for the current Bill Entity.

Bill Entity Name

The name of the Bill Entity for whom contact information is being displayed.

On the Address, Telephone, and Email tabs, contact information for the current Bill Entity is displayed. The Type field indicates the type of contact information (i.e. home, business, etc) for the current record.

Once the user has finished entering or updating information, they must click the Save button or press F10 to commit the changes to the database.
